How HomeShare handles the personal data from the forms for companies and landlords: who receives it, how long we keep it and which rights you have.

In short

We only collect what you write in our forms, and we use it to reply to you. We do not sell your data. Analytics only happens if you say yes. You can ask for access, correction or deletion at any time by writing to privacy@homeshare.no.

Who is responsible

HomeShare AS is the controller for the personal data collected on homeshare.no. Our organisation number is 935 450 551, and our address is Tangen 24, 4608 Kristiansand S, Norway. Send questions about privacy to privacy@homeshare.no. We do not have a data protection officer.

This notice covers the website and our two forms, for companies and for landlords. It does not cover leases. How we handle data once there is an agreement is set out in the agreement.

When you send the form for companies

We receive the country, organisation number and name of the company, and the name, email, phone number and role of the person sending. For each request we receive the start and end date, the address or coordinates of the project, the travel time you accept, the number of employees, extra services, the budget per employee per month with currency, and anything you write as additional information.

We use this to reply to you, understand the need and prepare an offer. The legal basis is our legitimate interest in answering and following up requests from companies (GDPR Article 6(1)(f)). You send on behalf of your company, and you can reasonably expect us to contact you about the request.

When you send the form for landlords

We receive your name, email and phone number, and whether you rent out as a private person or as a company. If you rent out as a company, we also receive the country, organisation number and name of the company. About the home we receive the address, the number of bedrooms and bathrooms, when it is ready to move into, the rent you want with currency, facilities, furnishing, links to listings, the description you write and the PDF files you upload.

We use this to reply to you, assess the home and suggest it to companies that need housing. If you rent out as a private person, the legal basis is that you have asked us to do something before a possible agreement (Article 6(1)(b)). If you rent out as a company, the legal basis is our legitimate interest in following up enquiries from landlords (Article 6(1)(f)).

What applies to both forms

We also store the language you used, when you sent the form, and that you accepted the terms. With your enquiry we also store the page you arrived on, the website you came from, if any (without parameters in the address), and campaign tags in the link (utm), so we can see where enquiries come from. When you send it, we receive a summary by email, and you receive a confirmation by email.

We need the required fields to be able to reply to you. If you would rather not fill them in, you can write to support@homeshare.no instead.

When you type an address, we send the text to Google to get address suggestions. The search goes through our server, so Google does not get your IP address from us. When you type a Norwegian organisation number, we look it up in the Central Coordinating Register for Legal Entities at the Brønnøysund Register Centre to find the company name. If you give an amount in a currency other than Norwegian kroner, we convert it using exchange rates from Norges Bank. No personal data is sent there.

We make no automated decisions about you.

Protection against misuse

To stop spam and misuse, we count how many submissions and address searches come from the same IP address. The IP address is only held in the server's memory, used to count the last few minutes, and never stored in a database. Our hosting provider also keeps technical logs to keep the website secure and running. The legal basis is our legitimate interest in a secure website (Article 6(1)(f)).

Analytics and cookies

We use PostHog, with storage in the EU, to see how the website is used and where errors occur.

Before you have answered, and if you say no, no analytics runs. Nothing about you is stored on your device, and nothing is sent to PostHog.

If you say yes, we count page views, clicks, load times and errors, and PostHog stores an ID on your device so we can see how visits connect over time. We then also record how you use the pages, such as clicks, scrolling and mouse movements, to find what is hard to use. What you type in the forms is not recorded. The legal basis is your consent (Article 6(1)(a) and section 3-15 of the Norwegian Electronic Communications Act).

What is stored on your device:

  • hs-consent: your choice, yes or no. Kept in your browser for 12 months. Needed to remember your answer.
  • hs-source: the page you arrived on, the website you came from and campaign tags, only after yes. Kept in your browser until you close the tab, and sent only if you send a form.
  • ph_…posthog and ph…_posthog_cpm: PostHog cookies with a random ID, only after yes. Last up to 12 months. PostHog also keeps a copy in your browser's local storage.

Your choice is stored in your browser for 12 months, so we do not ask on every visit. After that we ask again. You can change your mind or withdraw your consent at any time with the “Cookies” link at the bottom of every page. If you say no, recording stops at once.

Who receives your data

Only the people at HomeShare who work in sales and operations see the enquiries. We may show details about a home to relevant company customers when we suggest the home to them. We do not sell personal data.

These providers process data on our behalf, and we have a data processing agreement with each of them:

  • Airtable stores the enquiries and the PDF files, and is where we follow them up. The company is based in the USA.
  • Resend sends the summary to us and the confirmation to you by email. The company is based in the USA.
  • Vercel hosts the website. The servers that receive the forms are in Stockholm. The company is based in the USA.
  • Google Workspace hosts our mailboxes, where the summary of your enquiry lands. The company is based in the USA.
  • PostHog provides the analytics, with storage in the EU.
  • Google suggests addresses when you type in the address field. Google only receives the text you type. The company is based in the USA.

When data is transferred to the USA, this is based on the EU–US Data Privacy Framework, under which the providers are certified, or the European Commission's standard contractual clauses.

How long we keep your data

  • Enquiries that do not lead to an agreement are deleted 24 months after the last contact. This includes the PDF files and the emails about the enquiry.
  • If there is an agreement, the data follows the agreement. What we need for our accounts is kept for as long as the Norwegian Bookkeeping Act requires.
  • IP addresses used against misuse disappear from memory after a short time. Technical logs at Vercel are deleted after one day.
  • Analytics data in PostHog is deleted after 12 months, and recordings of visits after 30 days.

Your rights

You have the right to know what data we hold about you and to get a copy. You can ask us to correct errors, delete data and restrict processing. You can object to processing we do on the basis of legitimate interest, and you can get the data you have given us in a machine-readable format. If you have given consent, you can withdraw it at any time.

Write to privacy@homeshare.no. We reply as soon as we can and within one month at the latest. It costs nothing.

If you believe we process personal data in breach of the rules, you can complain to Datatilsynet, the Norwegian Data Protection Authority. We would appreciate it if you contact us first, so we can put it right.

Changes

We update this notice when we start using new services or change how we handle data. The date at the top shows when it was last changed. For larger changes we will say so on the website.
